Managing Delete Jobs

Prerequisites for Delete Jobs

• Set FID-0374 to Full Access to enable Delete Job functionality in Data Manager.

• Use caution with this feature. Deleting record types can involve risk in terms of unintentionally deleting data. It is best practice to create a backup of your data (this option is selected by default in the Delete Job summary screen) and always pay attention to on-screen messages that will alert you to potential unintended data loss.

Planning Delete Jobs

The Delete Job function in Data Manager enables you to delete the following data from a Civic Platform environment:

• Application status groups

• Content customizations
• Custom fields

• Fee schedules

• Inspections

• Intake Form configurations

• Record types and associated objects (this use case is illustrated below as an example)

• Sequences and masks

• Services

• Time accounting workflows

Creating a Delete Job

You can delete a record type's associated objects when you delete the record type. If the associated objects are related to other record types or other objects, Civic Platform will display a message enabling you to choose whether to continue with the delete.

To delete record types and their associations

1. Navigate to Data Manager, as follows:

   • In the new UI, go to Accela Administrator > Administration > Administration > AA Admin.

   • In V360, click the V360 Admin main link, then navigate to Administration > AA Admin.

   Civic Platform displays a link to Data Manager in the navigation panel on the left.

   
   
   

2. Click Data Manager and then click New Delete Job.

   Civic Platform displays the New Delete Job screen, where you define the high-level details of the delete job.

3. Complete the fields that display.

   Name	Enter a name to identify your delete job.
   Description	Enter a description of the delete job.
   Select agency	The agency name displays here; it defaults to your current agency.
   E-mail	The email address where you want to receive notifications about this job.

4. Click Save.

   Civic Platform displays the Delete Job Summary page.

   
   
   
5. Always create a backup of your data before running a delete job. In the Summary screen, "Backup a Copy of the Items Selected" is selected by default. Backups are stored in the Civic Platform Database. If you need to recover data after successfully running a delete job, you can download the backup file to your local machine, create a new import job, and then upload the backup file to recover the data. If you need to recover data, it is best practice to do so as soon as possible after the delete action.
6. You have the option to schedule the delete job to run at a future time. Specify the day and time and then change the Schedule Status to Active to run the delete job at the specified time.
7. Click Record Types. The record types that are currently configured for your agency display.
8. Select the record type you want to delete. When you select the check box for a record type, the check boxes for the associated objects are enabled.
9. Select the associated objects you want to delete.

   The objects you can delete include: Fee Schedule, Workflow, Inspection Group, Custom Fields Group, Intake Form Configuration, Mask & Scheme, and Application Status Group. By default, these objects are un-selected. When you select them on the Record Types page, they are selected in their corresponding Configuration page.

10. Click Save.
11. In the Delete Jobs panel, open the Actions menu and click Start and then confirm that you want to start the delete job.
