Managing Associated Work Orders and Assets

Addresses can be added to a work order or asset. Each work order or asset may have one or more addresses associated with it and will be used to identify locations such as, work order jobs, fire hydrant, and building locations.

Adding an Address from Your Reference Database

Addresses can be added to work orders or assets using the address reference database. Addresses that have been added to the reference database can be found and then associated with work orders or assets from the address lookup portlet. One or more addresses can be selected from this portlet and automatically associated with the work order or asset.

To add an address from your reference database

  1. Navigate to the Work Orders or Assets portlet and click the link to the work order or asset ID you want.

    If you do not see the work order or asset you are looking for, use Search to locate the record. See Using the Search Features for information about using Search.

    Civic Platform displays the work order or asset details.

  2. Click the Addresses tab.

  3. Click Look Up to locate a reference address.

  4. Enter search criteria as needed to locate the address you want.

  5. Click Submit.

    Civic Platform displays your search results.

  6. Select the addresses you want to add.

  7. Click Select.

  8. Click Submit.

    Civic Platform adds the address to the work order or asset.

Adding a New Address to a Work Order or Asset

Addresses can be added to a work order or asset that are not located in the in reference database. There may be one or more addresses associated with each work order or asset that can be entered manually through the work order or asset.

Civic Platform does not store new addresses that you add from these areas in the reference database.

To add an address to a work order or asset

  1. Navigate to the Work Orders or Assets portlet and click the link to the work order or asset ID you want.

    If you do not see the work order or asset you are looking for, use Search to locate the record. See Using the Search Features for information about using Search.

    Civic Platform displays the work order or asset details.

  2. Click the Addresses tab.

  3. Click New.

  4. Complete any of the fields that display.

    For descriptions of common fields, see Address Fields.

  5. Click Submit.

    Civic Platform adds the address to the work order or asset.

Viewing Associated Work Orders and Assets

Reference addresses associated with a work order or asset can be viewed from the addresses portlet. The same address may be used for various work orders or assets and will be displayed under the appropriate tabs. The details of the work order or asset can be viewed by selecting the ID to the work order or asset from the applicable list.

To view work orders or assets associated with a reference address

  1. Go to the Addresses portlet.

    Civic Platform displays a list of reference addresses.

  2. Click the link to the address you want.

    If you do not see the address you are looking for, you may need to search for it.

    Civic Platform displays the address details.

  3. Click the Work Orders or Assets tab.

    Civic Platform displays a list of work orders or assets associated with the address.

  4. To view or update work order or asset details, click the link to the work order or asset that you want to view.

    Civic Platform displays the details of the selected work orders or assets associated with the address.

Editing an Address in a Work Order or Asset

After an address is added to a work order or asset, it can edited as needed to correct mistakes or complete partial information. Editing an address for a work order or asset does not change the details about the address in your reference database nor does it affect any other work order or asset with the same address. The changes affect only the work order or asset that you are currently working on.

To edit an address for a work order or asset

  1. Navigate to the Work Orders or Assets portlet and click the link to the work order or asset ID you want.

    If you do not see the work order or asset you are looking for, use Search to locate the record. See Using the Search Features for information about using Search.

    Civic Platform displays the work order or asset details.

  2. In the Number column, click the link to the address that you want to edit.

    Civic Platform displays the details.

  3. Edit any of the fields that display. For a description of the fields, see Address Fields.

  4. Click Submit to save your changes.

    Civic Platform saves the changes to the address.

Removing an Address from a Work Order or Asset

If an address is no longer relevant to the item or is no longer is associated, it can be removed. Deleting an address from a work order or asset does not delete the address from the reference database or affect other work order or asset associated with the same address, it only removes the association between the address and work order or asset.

To delete an address from a work order or asset

  1. Navigate to the Work Orders or Assets portlet and click the link to the work order or asset ID you want.

    If you do not see the work order or asset you are looking for, use Search to locate the record. See Using the Search Features for information about using Search.

    Civic Platform displays the work order or asset details.

  2. Click the Addresses tab.

    Civic Platform displays a list of addresses associated with the work order or asset.

  3. Select the addresses you want to delete.

  4. Click Delete.

    Civic Platform removes the address from the list.
