Tracking Work Order Parts
The parts inventory allows an agency to track the usage and the supply of consumable parts. As your agency uses parts, the available supply automatically updates, and Civic Platform maintains an accurate count of quantity on hand for the part and location.
Part transactions include issuing specific parts to a work order. When you take out parts from the stock on hand and issue them to a work order, Civic Platform generates an issue part transaction. When you save the transaction, Civic Platform decreases the quantity on hand by the transaction quantity and then increases the total cost of the work order by the cost of the transaction. For example, a new development in the city requires the installation of five new lamp posts. The lamp posts cost $300 per unit. You generate a work order for the installation and Civic Platform issues the five lamp posts to the work order. Civic Platform generates an issue part transaction and then decreases the quantity on hand of lamp posts for the location by five. The total cost of the work order increases by $1500, which is the total cost of the transaction.

Creating Work Order Part Transactions
You can create single or multiple work order part transactions as needed.
To create a work order part transaction
Navigate to the Work Orders portlet.
Civic Platform displays the list of all work orders.
Click the Part ID link of the part you want to review.
Civic Platform displays the work order details.
Click the Part tab.
Civic Platform displays the part list associated with work order.
Click Search.
Civic Platform displays the fields related to the part inventory.
Complete any of the fields that display.

Click Submit.
Civic Platform displays the results of the parts for the search criteria.
Select the part(s) that you want to issue to the selected work order.
Click Submit.
Civic Platform generates an Issue part transaction and associates it with the work order.
Voiding Work Order Parts
If you need to remove a work order part transaction from a work order, you can use the Void functionality. When you void a part transaction, all units identified within the transaction update the quantity on hand as if the transaction did not exist. The transaction record remains in the work order part transaction list for reference, but as a voided record. For information about deleting parts, see Deleting Parts from the Part Inventory.
To void a work order part
Navigate to the Work Orders portlet.
Click the Part ID link of the part you want to review.
Civic Platform displays the work order details.
Click the Part tab.
Civic Platform displays the part list associated with work order.
Select each part that you want to void.
Click Void.
Civic Platform displays a message indicating record(s) voided successfully.
